Job Summary

The Facilities Coordinator supports the facilities management team by handling administrative and clerical tasks to ensure smooth daily operations. This role serves as the main point of contact for facility-related requests, coordinates maintenance activities, manages records and vendors, monitors budgets and supplies, and assists with reports, compliance, and ongoing facility projects.

 

Key Responsibilities

Frontline Coordination & Daily Operations

  • Act as the primary point of contact for all facilities-related requests, inquiries, and issue resolution
  • Coordinate and schedule routine inspections, preventive maintenance, and service appointments
  • Procure and manage office and facilities supplies to ensure uninterrupted daily operations
  • Participate in facilities meetings and support day-to-day coordination across teams

 

Administrative & Records Management

  • Maintain accurate and up-to-date facilities records, including work orders, asset logs, and vendor documentation
  • Facilitate and monitor work permit processing in accordance with company and regulatory requirements
  • Prepare, consolidate, and distribute weekly and monthly APAC facilities reports

 

Financial & Vendor Support

  • Assist in budget tracking by managing purchase requests (PRs), purchase orders (POs), invoices, and expense monitoring
  • Support vendor coordination and maintain organized vendor files and service records

 

Project & Planning Support

  • Assist in facility-related projects by coordinating meetings, preparing documentation, and tracking action items to completion
  • Collaborate with cross-functional teams to support facility improvements and initiatives
  • Maintain familiarity with different workplace environments to effectively support site-specific requirements

 

Compliance & Governance

  • Ensure adherence to health, safety, and environmental regulations through proper documentation and coordination
  • Support audits, inspections, and compliance reporting activities as required

 

Qualifications:

  • Bachelor’s degree or associate degree in Business Administration, Facilities Management, or a related field
  • 2–3 years of administrative experience, preferably within facilities, property management, or office operations
  • Strong organizational skills with keen attention to detail and accuracy
  • Excellent verbal and written communication skills in English, with the ability to interact effectively across all levels
  • Proficiency in Microsoft Office applications (e.g., Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment
  • Strong problem-solving skills and a proactive, service-oriented mindset
  • Basic leadership and coordination skills, with the ability to support cross-functional initiatives
