Title:  Facilities Administrative Assistant 1

POSITION SUMMARY:

The Facilities Administrative Assistant provides administrative and clerical support to the facilities management team. This role helps ensure the smooth operation of Facility services, coordinates maintenance activities, manages records, prepares report and presentation and assists with the day-to-day operations of the department.

 

This position is to direct report to a Facilities Manager which is part of the Global Real Estate &

Facilities team.

 

ESSENTIAL RESPONSIBILITIES:

  • Serve as the primary point of contact for Facilities-related requests and inquiries
  • Track and schedule routine inspections, service appointments
  • Maintain and update facilities records, work orders, equipment logs and vendor files
  • Assist in monitoring facilities budget, PR’s/PO’s, invoices and tracking expenses
  • Order and maintain office and facilities supplies
  • Support facility projects by coordinating meetings, preparing documents, and following up on action items
  • Ensure compliance with health, safety and environmental regulations
  • Assistance on processing work permits
  • Prepares APAC Facilities weekly, monthly reports.

 

WORK ENVIRONMENT:

  • Works in a standard office environment and uses general office equipment (phone, PC, copier, etc.).
  • Attend Facilities meetings
  • Should be familiar with all work environments at AE. 

 

SKILLS:

  • Good communication skills, both written and oral with English and leadership skills.
  • Familiar with MS office software

 

 

QUALIFICATION:

  • The candidate must possess College Degree or associate degree.
  • Preferably 2 to 3 years of administrative experience, preferably in Facilities or office management
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to multitask and work independently in a fast-paced environment
